FleetCollect's New Automatic SMS Reminders Keep Driver Qualification Files Audit-Ready by Targeting Expiring Documents

FleetCollect, a compliance platform for motor carriers, has introduced automatic SMS reminders that notify drivers when their qualification documents are about to expire, aiming to keep Driver Qualification Files (DQFs) audit-ready without requiring office staff to chase paperwork. The feature addresses a persistent challenge in the trucking industry: documents such as medical cards, MVR reviews, and CDL renewals often lapse unnoticed, leading to compliance gaps that are typically discovered only during a DOT audit.
Under FMCSA regulation 49 CFR §391.51, carriers must maintain a DQF for each driver containing 18 documents, including pre-employment records, annual reviews, ongoing testing, and conditional items. The new text reminders automatically alert drivers at 30, 14, 7, and 1 day before a document expires, and again if it lapses, with a secure link to upload the renewal from their phone. The system works only with carrier-attested driver consent, and drivers can opt out by replying "STOP."
"The medical card nobody remembered is the thing that fails your audit," said Herman, Founder of FleetCollect, who previously held a CDL and operated his own authority. "The driver has the document and a phone. The software should just ask them for it at the right moment — and read the date so nobody has to. That shouldn't be a premium feature; it should just happen."
The reminders are included automatically in every plan, not as a paid add-on. FleetCollect's platform already tracks all 18 §391.51 items on a single dashboard, integrates with Checkr for MVRs and background checks, uses OCR to read uploaded documents, allows driver uploads via a secure portal, stores data encrypted with multi-year retention, and exports complete, audit-ready DQFs as one-click PDFs.
FleetCollect targets owner-operators and small-to-mid-size fleets, including those in auto transport and farm trucking. It works alongside ELD systems like Samsara and Motive, handling the compliance paperwork those systems do not.
